The Invoice Generator turns your business details, your client's details and a list of items into a printable invoice, working out the subtotal, discount, tax and total as you type. It is aimed at freelancers, tutors, consultants and small shops that send a few invoices a month and don't need full accounting software. When it looks right, you save it as a PDF through your browser's print screen.
Filling in the form
- From (your business): your business name, then a box for address, phone number and GSTIN if you have one.
- Bill to (client): the client's name and address. If the client is GST-registered, add their GSTIN here too.
- Invoice details: invoice number (pre-filled as INV-001), invoice date (set to today), due date and currency. The currency menu offers ₹, $, €, £ and AED.
- Items: a description, quantity and rate on each row. Use + Add item for more rows and the ✕ button to delete one.
- Tax %, Discount % and Notes: the notes line is the place for payment terms, bank details or a UPI ID.
The preview updates as you type. Click Download PDF / Print and the invoice opens in a new tab along with the print dialog; choose Save as PDF as the printer. If nothing opens, your browser may be blocking pop-ups for the site.
Whatever you type is kept in this browser's local storage, so the form comes back on your next visit. Only one draft is stored, so save each PDF before editing the form for a new client.
How the totals are calculated
Each row's amount is quantity × rate, and the subtotal is the sum of the rows. The discount percentage comes off the subtotal first, and the tax percentage is then charged on what remains. That order matters for GST, because the taxable value of a supply is the value after any discount shown on the invoice.
Here is the preview for a web designer billing a food company, with a 10% discount and 18% tax:
| Line | Working | Shown on invoice |
|---|---|---|
| Website design | 1 × 25,000 | ₹ 25,000.00 |
| Hosting setup, 1 year | 1 × 4,000 | ₹ 4,000.00 |
| Logo revision rounds | 3 × 1,500 | ₹ 4,500.00 |
| Subtotal | sum of rows | ₹ 33,500.00 |
| Discount (10%) | 10% of 33,500 | −₹ 3,350.00 |
| Tax (18%) | 18% of 30,150 | ₹ 5,427.00 |
| Total | 30,150 + 5,427 | ₹ 35,577.00 |
Numbers follow your browser's language setting. With Indian English, one lakh twenty-five thousand appears as 1,25,000.00; a browser set to US English shows 125,000.00.
Turning it into a GST tax invoice
Rule 46 of the CGST Rules lists what a tax invoice from a registered supplier must show; CBIC summarises it in its flyer on tax invoices under GST. The form covers the supplier and client details, date, descriptions, quantities, taxable value, tax rate and tax amount. The rest goes into the free-text boxes:
- Invoice number: a consecutive serial number of up to 16 characters, using letters, digits, hyphens or slashes, unique within the financial year. A series like
MDS/26-27/014fits and shows the year at a glance. - HSN or SAC code: there is no separate column, so add it to each description. Since April 2021, businesses with turnover up to ₹5 crore use 4-digit codes and larger ones use 6 digits; the smaller group may leave codes off invoices to unregistered buyers.
- CGST and SGST, or IGST: the preview shows one tax line. For a sale within your state, write the central and state halves in Notes, for example "CGST 9% ₹2,713.50 + SGST 9% ₹2,713.50". For an inter-state sale, note that the tax is IGST and add the place of supply with the state name.
- Unregistered buyers: when the taxable value is ₹50,000 or more, include the delivery address and the state name and code in the client box.
- Reverse charge and signature: state whether tax is payable on reverse charge, and sign the printed copy, since the PDF has no signature block.
A few cases are beyond this tool. Businesses with aggregate turnover above ₹5 crore must report B2B invoices on the Invoice Registration Portal and print the IRN and QR code it returns. Composition taxpayers, and suppliers of only exempt goods or services, issue a bill of supply instead of a tax invoice. And if you are not registered for GST at all, leave the Tax field at 0, because an unregistered person cannot collect GST.
Habits that get invoices paid on time
- Always fill in the due date, so the client's accounts team has a date to schedule payment against.
- Put the payment method in Notes: account number and IFSC, or a UPI ID. The invoice can't hold images, so for scan-to-pay, make a code with the UPI QR code generator and send it along with the PDF.
- If you quoted a price including GST, work out the pre-tax rate first with the GST calculator. For ₹11,800 including 18%, enter a rate of 10,000 and let the invoice add ₹1,800.
Limits to know
- There is no logo, signature, HSN column, tax split, round-off line or amount in words.
- The print page loads its styling from the internet, so print while online or the PDF may come out unformatted.
- In the print dialog, switch off Headers and footers if you don't want the page title, date and web address printed in the margins.
- Drafts live only in this browser. Clearing site data, using a private window or switching devices starts you from a blank form.
